This policy explains how Coffee Gentlemen handles personal information when you visit our site, contact us, join a gathering or choose to receive email updates.

What we collect

If you email us or enquire about a gathering, we receive the contact details and information you choose to share. If we offer event registration, we may collect your name, email address and booking details needed to organise the event. We will explain any additional information requested at the point of registration.

Our web host may record technical information such as your IP address, browser, requested pages and visit time for security and operation. This site loads fonts from Google; Google may receive technical information when those fonts load. If you follow our Instagram link, Instagram handles your visit under its own privacy policy.

Email updates

Our optional email updates cover Coffee Gentlemen gatherings and occasional café stories. We ask you to opt in before adding your address to the updates list. Enquiring about an event, contacting us or attending a gathering does not subscribe you. We record when and where you opted in and the consent wording shown to you.

If you subscribe, we use your email address to send those updates and manage your subscription. Our welcome email includes an unsubscribe link; future marketing emails will also include one. You can ask us to remove you at hello@coffeegentlemen.com.

Photographs and gatherings

We may photograph cafés, coffee and gatherings. An image of an identifiable guest can be personal information. If we plan to photograph a gathering for our site or social channels, we will tell guests about that separately; this policy alone is not consent to publish anyone’s image. If you have a concern about a photograph, please contact us.

How we use and share information

We use information to respond to enquiries, organise gatherings, deliver requested updates, maintain the site and keep necessary business records. We do not sell personal information. We may use providers for web hosting, email, event administration and storage, and share information with them only for those purposes. We use Brevo to manage the updates list and send website emails. Brevo and other providers may process or store information outside Australia.

Storage and your choices

We take reasonable steps to protect information and limit access to people who need it for Coffee Gentlemen. We keep information for as long as it is needed for the purpose it was collected, business records or legal obligations, then delete or de-identify it when appropriate.

You can ask what personal information we hold about you, request a correction or deletion, change your email preferences, or raise a question about an image by emailing hello@coffeegentlemen.com. We may need to confirm your identity before responding. If we cannot fulfil a request because of an agreement or legal obligation, we will explain why.
